Use the Patients page to submit APCM claims for a selected month and track the results in a billing job.
1. Choose the practice, department, and month
Open Patients from the navigation menu. Check the practice and department at the top of the dashboard. Use the practice menu to change departments or choose All departments, if available.
Use the arrows beside the month above the patient table to select the billing month. Check this before selecting patients.
2. Review your patients and filters
Use the filters beside the table’s column headings to narrow your list. For example, Claim status → No claim shows patients without a claim, and Review status → Not reviewed helps you find patients who still need your team’s review.
Complete your usual review before submitting. If a patient shows Billing disabled or another billing issue, review the displayed reason and resolve it before including that patient.
Filters affect which patients are included when you select all matching records. For help with care plans, see Generate, review, and publish care plans to Athena.
3. Select the patients to bill
Choose Actions → Submit claims. In this mode, only patients the system identifies as billable can be selected.
Select individual checkboxes, or use the checkbox at the top of the table to select the loaded billable rows.
If more matching patients exist and you want to include them, click Select all [number] patients matching current filters. The table checkbox alone selects the loaded rows.
Check the selection count and the practice, month, and department in the selection toolbar. Click Review [number] claims.
4. Check the confirmation and submit
In Confirm Bulk Billing, review:
The organization, panel month, and department view.
The number of claims and totals by department.
The patient selection and any messages explaining why the batch is not ready.
The Date of service. Choose an available date; if departments require separate dates, complete each department’s date selection.
Bulk billing uses the billing provider already configured for each patient. If you see a provider-related issue, correct the patient’s setup before submitting.
If available, Include all ready behavioral-health add-ons is optional and off by default. Review its preview before including add-ons.
When everything is correct, click Submit Claims to start submission to Athena.
5. Check the billing job
The billing job opens after submission starts. Once it opens, you can leave the page and return through Bulk jobs → Billing jobs.
Check the patient results even when the job says Completed:
Submitted: Submission is recorded, including an existing claim confirmed during processing. This does not mean the claim is paid.
Skipped or Failed: Read the patient’s reason and resolve the issue before attempting another submission. Check whether a claim already exists before submitting again.
If the reason is unclear, contact Sematic through Support in the navigation menu.
